This role supports senior staff in managing contracts by preparing documents, tracking deadlines, ensuring
compliance, and maintaining records. Key responsibilities include drafting and reviewing contract templates,
coordinating with vendors, filing documents, and ensuring adherence to formatting and compliance standards.
ESSENTIAL FUNCTIONS:
- Support Supplier Enablement (Registration in Ariba)
- Send notifications to suppliers and follow-up accordingly
- Contract Execution
- Perform administrative tasks to support contract management (uploading contracts into Ariba, miscellaneousupdates to contract workspaces, sending notifications to internal stakeholders)
- Other Administration Activities
- Initiate weekly supplier offboarding related activities (notify internal stakeholders)
- Run and distribute various reports to internal stakeholders.
QUALIFICATIONS:
- Full time University degree is mandatory.
- 1-3 years of experience
- Documentation and Preparation:Assist in drafting and preparing contract documents, bid packages, andpurchase agreements.
- Data Entry and Tracking:Accurately enter data into contract management systems and track importantdeadlines, deliverables, and insurance certificates.
- Compliance and Review:Review contract templates, verify compliance with internal formatting and standards,and ensure all necessary documents are in order.
- Record Keeping:File and organize digital and physical contract records, ensuring they are secure andaccessible.
- Coordination:Communicate with vendors, subcontractors, and internal teams to request required documentsand resolve discrepancies.
- Technical Skills:Proficiency in Microsoft Word and Excel is essential, along with familiarity with documentmanagement systems.
- Contract Knowledge:Basic understanding of contract terms and construction or legal documents is beneficial.
- Strong attention to detail, basic contract knowledge, proficiency with Microsoft Office, time management, andclear communication.
- Communication:Strong verbal and written communication skills to liaise with internal teams, vendors, and otherstakeholders.
- Organization:Good time management and organizational skills to handle multiple contracts and tasksefficiently.
- Initiative:A willingness to learn and take initiative to support the team and contribute to continuousimprovement.
