  • Manage complex scheduling and prioritize competing demands to maximize executive time and focus

  • Partner with the travel department to plan and coordinate detailed itineraries, logistics, and supporting materials for executive travel

  • Prepare, proof, and edit high-quality communications, presentations, and documents for internal and external audiences

  • Screen and direct calls, messages, and inquiries, maintaining awareness of organizational priorities and sensitivities

  • Track, reconcile, and report on expenses and budgets for the executive office and associated business segments

  • Support budget planning and monitoring, ensuring timely and accurate expense tracking

  • Document meetings, draft agendas, and capture action items, ensuring clear and timely follow-up on executive commitments

  • Manage special assignments and cross-functional projects, coordinating stakeholders and tracking progress independently

  • Identify opportunities to enhance administrative systems, communication flows, and overall operational efficiency

  • Anticipate information needs, potential conflicts, and next steps—keeping executives informed and prepared ahead of schedule

  • Serve as a liaison across Empower’s leadership team, connecting decisions and ensuring alignment on strategic priorities

  • Provide coverage and guidance for temporary or rotating support staff, upholding consistency and quality standards across the executive support function

  • Represent the CEO’s office with professionalism and discretion, modeling Empower’s values in every interaction

What you will bring:

  • 8+ years of experience providing high-level administrative support, ideally to C-suite executives in large or complex organizations

  • Advanced proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook, Teams, Forms)

  • Exceptional attention to detail, organization, and accuracy in all work products

  • Proven ability to manage multiple priorities and meet deadlines in a fast-paced, dynamic environment

  • Demonstrated discretion, judgment, and initiative in handling confidential and sensitive information

  • Strong interpersonal skills to interact effectively with executives, board members, and external stakeholders

  • Analytical and decision-making skills with the ability to adapt to ambiguity and evolving priorities

  • Skilled in research, data compilation, and synthesizing information into clear insights

  • A professional presence that inspires confidence and trust at all levels of the organization

  • Associate degree or equivalent experience required; bachelor’s degree in business administration, communications, or related field preferred

What will set you apart:

  • Experience supporting a CEO, board chair, or comparable senior leader in a Fortune 500 or financial institution

  • A command of discretion and diplomacy—able to navigate sensitive matters with poise and confidence

  • Mastery in managing information flow and orchestrating priorities across multiple executives or business units

  • Exceptional writing and editing skills with the ability to distill complex information into concise, clear communication

  • Advanced technological fluency, leveraging productivity tools, analytics, and collaboration platforms to drive efficiency

  • A calm, unflappable demeanor under pressure, maintaining focus and grace in high-stakes situations

  • Strategic thinking paired with operational precision—someone who sees both the details and the bigger picture
